Pricing and Claim Backs Coordinator

Job Summary:
The Pricing and Claim backs Coordinator plays a key supporting role within the Business Services Group by assisting with pricing documentation, processing customer claim backs, and maintaining pricing accuracy across systems. Working closely with the Pricing Administrator, this role helps manage day-to-day pricing and credit-related tasks, supports internal reporting, and ensures a smooth workflow between pricing, sales, and finance.

 

This position is ideal for someone who is highly organized, detail-oriented, and eager to grow in a collaborative, fast-paced environment.

Key Responsibilities:

• Support processing of CAN and US claim backs (data gathering, documentation, tracking)

• Assist in updating and maintaining US Market Price Pages

• Help coordinate ICT Transfers (Inter-Company Transfers between plants)

• Review and assist with Credit Requests related to pricing discrepancies

• Track and follow up on Skid Promo Credits

• Support New Account Setups with documentation and system updates

• Assist with Short Pay Investigations under the direction of the Pricing Administrator

• Help maintain the Deviations Master Log for accuracy and traceability

• Log and review sales tax certificates to ensure the correct documentation is on file and up to date

• Conduct Price Checks for open orders and invoiced items (twice a week)

• Assist with compiling Month-End Procedure Reports

• Support US POD Claim back entries and documentation

• Help with Quarterly FORDIS, TENAQUIP Rebates – Canada (data preparation, tracking, coordination)

• Act as backup for invoicing and other BSG functions as needed

• Assist with miscellaneous tasks or process improvements within the group

• Flexibility is important, there are periods when the workload is light and others when cross-team collaboration or urgent items may require extra support

Minimum Qualifications:

  • 1–3 years of experience in a business support, finance, sales operations, or pricing-related role

  • Strong organizational and time management skills

  • Proficiency in Excel (VLOOKUP, pivot tables, filters); familiarity with ERP systems like Microsoft Great Plains or TrueCommerce is a plus

  • Strong written and verbal communication skills

  • Ability to manage multiple requests and prioritize effectively

  • Comfortable working independently and as part of a collaborative team

  • Knowledge of pricing workflows, customer deductions, returns or credit processes

  • Experience working in manufacturing, distribution, or logistics environments

  • High attention to detail and ability to identify inconsistencies in pricing or documentation

  • Familiarity with Canadian and U.S. billing or pricing practices
