Job Summary

We are seeking a highly organized and analytical Sales Support Administrator to support critical sales operations including contract management, rebate administration, RFP coordination, CRM administration, contract pricing publications, and sales analysis. This role also supports lead generation efforts and helps support strategic growth initiatives across the business.


Responsibilities include but are not limited to:

RFP Administration

  • Lead the preparation, coordination, and submission of Requests for Proposals (RFPs) for strategic accounts.

  • Work cross-functionally to gather necessary inputs and ensure timely, complete submissions.

  • Maintain RFP documentation and response templates.

Business Development & Lead Management

  • Administer and update CRM systems (Microsoft Dynamics 365 Sales CRM) to ensure accurate pipeline and customer data.

  • Research and compile prospective customer data to support outbound efforts.

  • Coordinate with external lead generation partner, managing data flow and quality control.

  • Analyze effectiveness of lead generation efforts and provide insights to the Sales team.

Contract Review & Management

  • Review and redline customer/vendor contracts 

  • Monitor contract lifecycle dates for renewals and compliance milestones

Regional & Specialty Volume Rebate Programs

  • Manage quarterly volume rebate programs, including tracking, calculating, and reconciling rebates with accuracy using Microsoft Excel.

  • Prepare and distribute monthly customer reports outlining progress and performance against rebate program targets.

Publish Contract Price Pages

  • Prepare and distribute monthly contract price pages to customers.

  • Collaborate with Sales teams to ensure all updates are accurate and aligned with internal guidelines.

Reporting and Analysis for Strategic Accounts

  • Perform ongoing sales analysis using Excel, including building and maintaining PivotTables and using VLOOKUP and related functions.

  • Generate reports to identify trends, opportunities, and areas for improvement.

  • Support ad hoc data analysis requests from Sales and Leadership teams.

Coordinating On-boarding of new Strategic Accounts

  • Oversee the onboarding process for newly acquired Strategic Accounts.

  • Maintain and update the implementation tracker with awarded locations and assign them to the appropriate sales representatives within the CRM system.

  • Facilitate internal communication by providing relevant information to key departments, ensuring customers are set up to successfully place orders.

Special projects as requested by all levels of Management

Corporate Month End Reporting

Qualifications:

  • Bachelor’s degree in Business, Marketing, Data Analytics, or related field.

  • 3+ years of relevant experience in sales operations, sales support, business development, or contract administration.

  • Advanced proficiency in Microsoft Excel, including PivotTables, VLOOKUP, and formula-based data analysis.  Applicants will be asked to take an online assessment test to establish a level of comfort.

  • Familiarity with CRM systems (e.g., Microsoft Dynamics 365 Sales, Salesforce, HubSpot).

  • Strong organizational and project management skills.

  • Excellent attention to detail, written communication, and time management.

  • Experience with reviewing/redlining contracts or working closely with legal teams.
